Problem

Organizational contract challenges that Data Management solves

The system delivers the data – but someone has to verify it daily, cross-check it against delivery notes and work reports, and turn it into settlements.

People and skills: staff turnover, a shortage of logistics control specialists, engineers overloaded with administrative work
Processes and documentation: an unstable flow of delivery notes (WZ), manual data handling, limited oversight of haulage
Transparency and financial control: subjective delivery confirmations, delayed reporting, barriers to cost planning
People and skills
Krzysiek called in sick
The only person verifying delivery notes is out for two weeks. Trip control grinds to a halt.
Processes and documentation
Delivery note never arrived
B/00418/2026 stayed at the quarry. A delivery with no confirmation in the records.
Financial control
Work report vs system
The work report shows 12 h of excavator work, the system shows 7 h. The discrepancy only surfaces later.
People and skills
Andrzej handed in his notice
At month’s end the settlement specialist leaves – and with him the knowledge of the contract’s control schemes.
Processes and documentation
Trip off route
A vehicle spent 40 minutes off its assigned route. Nobody noticed before settlement.

Settlement staff on vacation
Ms. Ania is back in two weeks. The notes sit waiting in a binder.

Rental budget in the dark
Without current data, forecasting rental costs is guesswork.

Engineer stuck in spreadsheets

BuildiBox Data Management

A system is a tool; professional support is certainty.

We know that the pace of contract work often leaves little time for deep data analysis. We understand the challenges of short-staffed teams and deadline pressure, so we built a solution that takes this burden off your team. We want you to focus on building while we take care of the accuracy of your settlements.

Full control outsourcing
A dedicated team of BuildiBox specialists takes over the daily verification of selected processes. We control every vehicle movement across your construction site, including aggregate, sand, and concrete haulage as well as the work of hourly-rented machines.
02
Eliminating errors and abuse
We detect suspicious trips and activity, and we flag each one to you in an individually prepared report. We sum up every working day for you.
03
Staff optimization
Your engineers, managers, and settlement specialists no longer spend time tediously copying data from table to table. They can focus on real strategic tasks. You free up their time and potential.
How we start

3 steps to smooth control

01
Launching the BuildiBox system
The prerequisite for starting the BuildiBox Data Management service is having the BuildiBox monitoring system with an active Counter and/or Clocks module. The collected data forms the basis for further control of logistics processes.
02
Defining the areas to control
We discuss in detail the logistics processes and those related to equipment rental and working time, then create an individual control plan. In parallel, we meet with your partners (quarries, haulage companies, equipment suppliers) to agree on the technical and organizational side of passing data to BuildiBox, covering both haulage and equipment working time.
03
We run ongoing control – without engaging your resources for the duration of the contract
Once the rules of cooperation between the subcontractors, the BuildiBox Data Management team, and the construction site are set, we take over the daily control of operational data. We regularly share the results with you in the format agreed up front. We also hold periodic update meetings.
What this means for you

Frequently asked questions.

How the service works, what it requires, and what cooperation looks like.

What is the Data Management service?+
The BuildiBox team takes over the daily verification of logistics data from your construction site: cross-checking trips against delivery notes (WZ) and work reports, detecting discrepancies, and preparing subcontractor settlements. You get the finished result — reports and amounts to settle — instead of the data work that normally burdens engineers and settlement specialists.
Does Data Management require BuildiBox modules?+
Yes — the service works on data from the system, so it requires an active Counter and/or Clocks module on the contract. Counter delivers trip and weighing data, Clocks delivers equipment working time data.
What do the dashboard and reports for my contract look like?+
We build each client’s dashboard and control flow individually, based on their settlement schemes — distance thresholds, rates, and billing periods. You download reports in XLS or PDF for any period: a day, a month, or from the start of the contract.
How much does Data Management cost?+
Pricing is individual — it depends on the scope of control and the number of processes on the contract. The Counter/Clocks module subscription and the devices are billed separately, per the price list. Book a free demo and we’ll prepare an offer for your contract.
